Minutes of Board Meeting

April 24, 2024

  1. Meeting called to order at 7:06 by Suzanne Doerr, President.  Board members present were Lisa Cousineau (Treasurer), Evie Brown (Vice President), Nancy Vargo (Community Liaison), Ellen Svehla (Secretary). Management staff Jim Berry, Kim Deavers and Amie Rush.
  • Nancy Vargo verified signs were posted announcing the meeting.
  • Statements by Board – Items addressed.
    • Financials announced reserves are $530,946.42
  • The communication improvement of sending out a quarterly newsletter was completed.
  • Quotes for an audit were received. Cost estimates of $4000 – $6000 were received. Decided will do both financial audit and the reserve study in 2025 so we can put costs into the budget.
  • Maintenance schedule was discussed. See attached for detail.
  • Garage lights will be black. Installation is planned for May/June. Date to be announced.
  • The welcome committee is in development. Nancy will start to work with Amy to get started to contact new residents to welcome them.
  • A garage sale was approved for any homeowners to do out of their individual garages.  Dates to be Fri 5/24 and Sat 5/25. This is the same dates as Village Bible Church so we can build on their well-attended event and marketing.  Nancy to pick-up signs and post at key points.  Office will announce this in an email blast.
  • Homeowners Forum
    • Discussed recent safety concerns and suggested homeowners close garage doors and be on alert. Recommended that homeowners call police if any concerns.
    • Discussed continued parking violations. Homeowners are encouraged to send email or call the office if see any violations. If immediate concern, please call police.
    • Truck traffic is a concern. Office staff will contact the village to address signage needs.
    • A homeowner asked if spot blacktop repair can be done to save on cost. Agreed can do.
    • Maintenance concerns expressed by homeowners at 140E Park and 140C Park. A list of concerns was sent to the office listing mold on siding and other issues. Office to audit both units and report to board completion and corrective actions planned.
    • Amy to talk to landscaping company to set up walk thru with board members in May.
    • Discussed vendors. If homeowners have suggested vendors, please let the office know so we may see if can do group rates.
    • Directory of homeowners asked for. Any homeowners wishing for numbers to be included can contact the office to be included.
    • Confirmed that the office is notified of FSBO sales.
